The Constitution of Manangement Assistant Students HSOY ry (12.12.2006)

1.

The name of the association is Management Assistants students HSOY ry and its residency is the city of Helsinki. In the Consitution the association is called student association.

2.

The purpose of the student association is to support the members’ general, common, emotional and substantial intensions and to represent the members among other institutes and communities.

To reach its purpose the student association arranges meetings and conversational meetings and excursions. The student association also follows and awakens interest in the vocational development of the branch.

3.

The student association has primary and honorary members.

Student at the Degree Programme in Modern Languages and Business Studies for Management Assistants or at the Degree Programme for Multilingual Management Assistants at HAAGA-HELIA University of Applied Sciences can join as primary members. Reached memberships are held.

A member acting against the Constitution of the association can be expelled from the student association. The board of the association makes the decisions concerning membership.

The meetings the association can call for honorary member a person who has in a remarkable way improved the aims of the student association or to whom the student association otherwise wants to show its respect. The decision of the meeting has to be unanimous.

5.

The meetings of the association play the supreme power in the association. Meetings provided by the constitution of the association are spring and autumn meetings.

6.

Spring meeting is held in April and its purpose is to:

  1. Choose the meeting officials; chairperson, secretary and two scrutinisers.
  2. Accept the Proceedings of the association
  3. Accept the Accounts of the previous fiscal year
  4. Decide on admission for the liable
  5. Decide on any other topics presented to the meeting

7.

Autumn meeting is held in November and its purpose is to:

  1. Choose the meeting officials; chairperson, secretary and two scrutinisers.
  2. Accept the strategy for the coming fiscal year of the student association
  3. Decide on the amount of membership fee
  4. Confirm the budget for the coming fiscal year of the student association
  5. Execute the selection for the members of the associations board
  6. Choose an auditor and an alternate for the student association
  7. Decide on any other topics presented to the meeting

The student association gathers for an extra association meeting when the board decides on it or when at least 1/10 of the members asks for it on paper.

9.

Invitation to the association meeting is to be presented on the notice board of the student association at least 7 days before the meeting. Topics handled in the meeting are to be presented in the invitation.

Invitation to the association meeting is to be sent to the honorary members personally 7 days before the meeting.

10.

Decisions in the association meetings are done on simple majority of the votes, if not other wise said in these articles. When the votes are even, the winning opinion is the one supported by the chairperson. In a poll a lot decides. When requested, the poll is to be organised with closed lots.

11.

In the meetings of association, justified decisional minutes are kept.

Adjusted minutes will be placed to the notice board of the student association for 7 days within a week from the meeting.

12.

The board of the student association takes care of the associations property and every day operations. The board consists of at least a chairperson, vice chairperson, secretary and a treasurer. In addition, in the board can be not more than 6 other members. They are selected for a fiscal year. The members of the board must be primary members of the student association. The board is selected on a direct poll. All of the members of the association are entitled to vote.

The board of the student association runs the operations and

  1. prepares the topics to be presented at the meetings of the association, invites the meetings of the student association and executes the decisions,
  2. monitors the economy and property of the student association
  3. decides on the topics that do not need the decision of the meeting of the student association

When a member of the board resigns from the student association in the middle of the fiscal year or is constantly unable to fulfil his/her duties, must the board assemble a meeting of the student association to select a substituting member. The board must assemble this meeting within a month from the acknowledgement.

15.

The board assembles from the chairpersons or vice chairpersons invitation, and is able to make decisions when chairperson or vice chairperson and 3 other board members are present.

16.

With a decision of the board, clubs to improve the members out of school activities and committees to prepare and investigate different matters can be founded within the student association.

1.

The chairperson, vice chairperson and secretary are able to sign for the association, always two together.

18.

The treasurer of the student association accepts the invoices addressed to the student association in accordance with the budget.

19.

The calendar year is the student associations fiscal and operational year.

The financial statement and any other documents needed are to be presented for the auditor to check at least three weeks before the spring meeting.

20.

The auditor lay down the accounts, economy and property and give his/her audit report to the student association board two weeks before the spring meeting.

21.

To change these articles and to dissolve the student association, decides the student association in two consecutive meetings – interim at least 2 weeks – when 2/3 of the given votes in both meetings support the decision. This has to mentioned in the invitations.

22.

If the student association is dissolved, the property is given to the HSO Fund to given out as scholarships for the students of both Finnish and English Management Assistant students.
